How to bid a drywall job without guessing.

A drywall bid is not one square-foot rate multiplied by a rough room size. A useful bid starts with measured scope, turns that scope into material quantities and labor hours, covers the cost of running the job, and then presents the client with a clear price and written boundaries. The math matters, but the notes you take on site matter just as much.

This process is built for the small contractor who measures, prices, and sells the work. It keeps the internal estimate separate from the customer proposal, so you can protect your labor rate, material costs, markup, and margin while still giving the client enough detail to understand what they are buying.

Use these with the guide

1. Measure the actual scope

Walk the project and name every room or work area. Measure walls, ceilings, soffits, closets, stairwells, and patches separately. Record wall height, ceiling dimensions, meaningful openings, outside corners, and board type. If the work is based on plans, confirm that the current site still matches them.

Before leaving, write down what the client expects: hang only, hang and finish, texture, primer, demolition, protection, cleanup, disposal, or repair work. Note finish level, ceiling height, occupied areas, stairs, material access, lifts, parking, working hours, and schedule pressure. These conditions can change labor even when the installed area stays the same.

Keep uncertain conditions visible. Hidden framing damage, moisture, incomplete demolition, missing backing, and out-of-plumb framing should become assumptions, exclusions, allowances, or change-order language. Do not bury them inside a number that looks final.

2. Turn measurements into material quantities

Add the installed wall and ceiling area, subtract openings according to one consistent rule, choose the sheet size you expect to use, and apply a waste factor that fits the layout. A clean open room and a cut-heavy remodel should not automatically carry the same waste. Round the result up to whole sheets.

Sheet count = ceiling((installed area × (1 + waste rate)) ÷ sheet coverage)

Finish materials should be based on installed area rather than board-order area. BoardCount uses planning assumptions of 37 linear feet of tape, 1.0 gallon of joint compound, and 0.27 pounds of screws per 100 square feet. Package quantities then round up to whole 500-foot tape rolls, 4.5-gallon pails, and 1-pound screw boxes. Corner bead is measured separately from outside corners.

Those assumptions are a starting point, not a promise about field consumption. Finish level, framing spacing, corner count, texture, repairs, crew habits, and product coverage can move the actual quantity. Compare completed jobs with your estimates and replace general assumptions with your own history when you have it.

3. Build labor from hours, not hope

Break labor into the phases your crew actually performs: delivery and staging, protection, hanging, bead, taping, coating, sanding, texture, cleanup, and return trips. Estimate crew hours for each phase and multiply by your loaded labor cost. Loaded labor should reflect the real cost of putting that worker on the job, not only the wage written on the check.

Use a range when the condition is uncertain. A straightforward open area may sit near the lower end of your hour range. High ceilings, scattered patches, occupied rooms, difficult access, extensive protection, short mobilizations, or a tight schedule push the job toward the higher end. The point is not to invent precision; it is to make the uncertainty visible before you commit to a price.

Labor cost = estimated crew hours × loaded hourly labor cost

4. Add material cost, overhead, and profit correctly

Price the material quantities with current supplier costs. Include delivery, sales tax where applicable, consumables, protection, disposal, equipment, and any subcontracted work. Supplier pricing and labor markets vary by location and date, so a national rate copied from the internet should never replace a current local quote.

Next cover job overhead and company overhead. Job overhead can include travel, project management, permits, parking, equipment, and mobilization. Company overhead includes the expenses that keep the business operating even when you are not hanging board. Then add profit deliberately. Markup and margin are not the same calculation, so use the method your business understands and review the resulting gross margin before sending the bid.

Sell price with markup = total cost × (1 + markup rate)

Sell price for target margin = total cost ÷ (1 − target margin)

5. Present the bid as a scope, not a mystery number

The client proposal should name the project, describe the included work, list important exclusions, state the total proposal, explain payment terms, show how long the proposal is valid, and provide a place for acceptance. It can show useful line items when that helps the sale, but it should not expose internal labor rates, supplier costs, markup, profit, or private job notes.

Use plain language. “Hang and finish drywall in the measured kitchen and hallway areas” is clearer than a paragraph of software output. State who handles demolition, insulation, electrical boxes, framing repairs, texture matching, primer, paint, cleanup, and debris. If changed scope or concealed conditions can affect price and schedule, say so before the signature line.

Worked example: from takeoff to proposal

Assume the measured project contains 1,000 square feet of installed drywall. The estimator selects 4 × 12 sheets and a 12 percent board-waste allowance. The board order becomes 1,120 square feet, which rounds up to 24 full sheets. Finish materials remain based on the 1,000 square feet actually installed:

The estimator then enters current supplier costs, assigns a realistic low-to-high labor hour range for the site conditions, adds delivery and job expenses, and applies the company’s chosen overhead and profit method. The internal estimate shows those economics. The client proposal shows the agreed scope, total, terms, exclusions, and change-order basis. That is a bid you can explain and update instead of a rate you have to defend from memory.
